How it works

Information moves along the chain in three steps

The share is created in the workspace as part of the order’s normal flow. The partner needs no new system and no account – the link is enough.

  1. 01 You choose what the chain sees Share the status alone, or the selected stages, quantities, schedules and documents. The share produces a link and a tracking code in the form FXN-XXXX-XXXX.
  2. 02 The partner opens it in a browser The subcontractor or customer enters the code at portal.fluxion.fi or scans the QR code with their phone camera. A share can also be protected with a password.
  3. 03 Information returns to the workspace Receipt, completion and exceptions are acknowledged from the same view. The entry reaches you and stays in the work’s activity history – with no email thread or round of phone calls.

Between the systems

A shared view, even when the systems do not talk

The customer, the subcontractor and their suppliers each run their own systems. Portal does not try to replace them. It brings the chain’s essential information into one place every party can reach.

Completion estimates in view

The partner sees what was ordered, which stage the work is in and when it is due to complete. A schedule change shows in the chain right away – not once the delivery is already late.

Acknowledgements delivered

Receipt, completion and exceptions are acknowledged from one view. The entry reaches the company that ordered the work and remains in the activity history.

Traceability along the whole chain

Who shared, who opened and who acknowledged – every step is recorded in the work’s activity history, so the chain’s course can be verified afterwards.

Access and limits

The sharing company decides who sees what

Access to a shared work always comes from the company that shared it. The partner sees only their own part of the chain, and there is no public sign-up in Portal.

Tracking code or QR
A code in the form FXN-XXXX-XXXX from a link or message – or opened straight with the phone camera.
Password-protected share
A more sensitive share can be protected with a password, which is checked on the server.
No access to the workspace
The recipient sees no other orders, no customers and none of the workspace settings.
Browser and phone
The same view works on desktop, tablet and phone without an app.
Finnish, English and Swedish
The recipient picks the language themselves, even when the sharing company works in another one.
Kept in the history
Openings and acknowledgements are recorded in the work’s activity history on the workspace side.
For as long as it is valid
With the recipient’s permission, successful access can be remembered on the device for the share’s validity.
Several shares at once
The browser remembers up to ten recently opened shared works when the recipient allows the storage.

Frequently asked questions

Does the subcontractor or customer need a FluXion account?
No. Tracking is opened from a link or with a tracking code in the browser, and no workspace user account is created for the partner.
Does the partner have to change their own system?
No. Portal works between the systems: the partner keeps using their own tools and views and acknowledges the chain’s shared information in the browser.
What information moves along the chain?
What the sharing company selects: the status, stages, quantities, schedules and chosen documents. Acknowledgements and exceptions come back. Nothing else from the workspace is visible.
How do acknowledgements work?
The view can request a receipt acknowledgement, for example. When the partner acknowledges, the entry reaches the workspace and stays in the work’s activity history.
Can a share be protected?
Yes. A share can be protected with a password that is checked on the server. It is never shown to the sender and is not stored in the browser.
Is Portal included in the price?
Portal is part of FluXion and needs no separate user for the partner. You can try it right away at portal.fluxion.fi.
